How we handle your information.

Ivory Atlas Dental Concierge ("we", "us", "our") is an independent dental tourism concierge that helps patients plan trips abroad for dental work in Istanbul, Cancún, and San José. This policy explains what personal information we collect, how we use it, and the choices you have. We've tried to write it in plain English.

What we collect

We collect information you give us when you interact with our website or chat:

  • Trip preferences you share with our AI concierge — dates, party size, interests, budget, occasion.
  • Contact details you submit through forms — name, email, phone / WhatsApp number, country of residence.
  • Conversation transcripts from your chat with Mara, stored to improve our service and to allow your specialist to pick up where the chat left off.
  • Technical information automatically logged when you visit — IP address, browser type, device type, pages viewed, referring URL. We use this only in aggregate to understand how the site is used.

How we use it

We use your information to:

  • Build a draft treatment plan based on what you told the chat.
  • Have a human specialist follow up via the email or WhatsApp number you provided.
  • Refine our chat and itinerary system over time (we may review past conversations to improve quality).
  • Send you the brochure or other content you explicitly requested.
  • If you've opted in: send occasional follow-up notes about new itineraries, seasonal availability, or trip ideas. You can opt out anytime.

We do not sell your personal information to anyone. We do not show advertising on our site.

Who we share it with

To plan your trip, we share your treatment preferences with:

  • Our destination management partners (clinic partners) in the country you'll travel to, who help us secure clinic and transfer availability. They are bound by the same confidentiality standards.
  • Service providers we use to run the site — hosting (Vercel), email (transactional providers), conversation logging (Vercel Blob storage). They process data on our behalf and don't use it for their own purposes.
  • The AI concierge backend (Anthropic). Your chat messages are sent to Anthropic's Claude API in real time so the assistant can reply. Anthropic does not retain prompts beyond what's required to deliver the service.

We will only share your information with a wider party (e.g. the clinic you're booking with) once you have confirmed a booking with our specialist.

How long we keep it

We keep contact details and treatment preferences for as long as our relationship with you is active, plus a reasonable period afterwards (typically up to 5 years) for repeat-customer service and accounting. Anonymous technical / analytics data may be kept indefinitely.

If you'd like us to delete your information, just email hello@ivoryatlas.com and we'll do it within 30 days.

Your rights

Depending on where you live, you may have the right to access, correct, export, restrict the processing of, or delete your personal information. To exercise any of these rights, email hello@ivoryatlas.com and we'll respond within 30 days.

If you're in the EU/UK, you also have the right to clinic a complaint with your national data-protection authority.

Cookies

We use a small number of cookies to keep the site running smoothly — for example, to remember your selected chat language between page loads. We do not use third-party advertising or behavioural-tracking cookies.

Changes to this policy

If we make significant changes to this policy, we'll post the new version here with an updated "last updated" date and, where appropriate, notify customers we have a relationship with.
